Job Summary: The Office Assistant will play a crucial role in ensuring the smooth operation of our office. This position involves performing a variety of administrative and clerical tasks to support daily office activities, enhance productivity, and ensure a welcoming environment for both clients and staff.
Key Responsibilities:
Administrative Support:
Answer phone calls, take messages, and route calls as necessary.
Greet and assist visitors, clients, and staff in a professional and courteous manner.
Manage and distribute incoming and outgoing mail and packages.
Prepare and maintain office documents, including filing, scanning, and data entry.
Office Management:
Coordinate and schedule meetings, appointments, and travel arrangements.
Maintain office supplies inventory and place orders as needed.
Ensure office equipment is functioning properly and arrange for repairs when necessary.
Assist in the preparation of reports, presentations, and other documents.
Support to Team:
Provide general administrative support to various departments as required.
Assist in organizing company events, meetings, and other activities.
Handle routine inquiries and resolve basic issues efficiently.
Record Keeping:
Update and maintain office databases and records.
Ensure confidentiality of sensitive information and compliance with data protection regulations.
Qualifications:
Education: High school diploma or equivalent; additional qualification as an administrative assistant or office management is a plus.
Experience: Previous experience in an administrative or office support role is preferred but not required.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
